So you sit back down with a mild feeling of of impending doom as to what this forgotten item might complicate for you tomorrow.

Sound familiar?

Throughout the day so many distractions pop up or more urgent matters arise and let’s face it, it’s easy for certain things to slip our minds. What can be done to prevent this from happening?

Here are some proven strategies to strengthen your time management throughout the day:

1. Reassess

The only way to improve your effectiveness throughout the day is to figure out what exactly it is you do all day.

In order to do this, I wrote a list of every task completed, including coffee breaks and at the end of each day picked:

(a) What I spent most of my time doing; and

(b) What single thing I did that was most productive.

2. Analyse

OK so we have figured out what it is we do for 38 + hours a week, now it’s time to see what should and shouldn’t be in there. Look at Monday for example, how productive were you in the morning?

Highlight activities that were urgent in one colour and the debatable items (you know what they are) in another colour.

3. Reorganise

Here is where we need to get ruthless. Increase time spent on productive activities and for those not so important activities, allocate time for them when you are not at your most productive, over lunch or during the Monday morning lull you just can’t avoid.

4. Plan

One of the first things on my To-Do list on a Monday morning is to look at my calendar for the week ahead and block out times for certain highly productive activities that cannot be avoided so I plan everything else around them.

It takes 5 minutes and then forces me to be accountable for getting my high payoff activities done.

5. Do it

By now you should know what you need to do to effectively manage your time better but you need to commit to doing what you say you will do. Procrastination is a loser’s best friend. Maximise your productivity by focusing on what will reap most benefits for you in your role.

You want to leave work every evening with that satisfied feeling you did something that will help you achieve your next goal – smashing that quarterly target or jumping ahead in the running for the next promotion in your team. Investing your time effectively is the first step on the road to success.
