Key Responsibilities:

  • Maintain office services by organising office operations and procedures
  • Extensive minute taking during meetings
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Event coordination and management which will involve interstate travel
  • Assist with Website maintenance as directed
  • Maintain meeting rooms and attend to individual requirements for meetings;
  • Liaise with building management regarding maintenance issues and general property management communications
  • Recording office expenditure and managing the budget
  • Take minutes at any meetings as requested
  • Assist with PowerPoint presentations and marketing materials
  • Maintain diary, making appointments, receiving visitors, and checking appointment;
  • Set-up meetings and conferences by contacting required individuals and agreeing timing and locations and book location where necessary
  • Preparing documents and presentations
  • Coordinating functions and events
  • Providing management support
  • Dealing with high quality, sometimes confidential information.
  • Liaising with key stakeholders
  • Projects as required by the company
  • Development and delivery of new work practises and procedures

You must have:

  • Significant experience as an EA/PA or Office Manager supporting at least senior management level
  • Adept at minute taking (i.e. shorthand)
  • Superb communication skills
  • Fantastic organisational skills
  • Exceptional interpersonal and written abilities
  • Highly developed MS Office skills
