About the role
As Administration Coordinator, you will play a pivotal role in the organisation's flagship certification scheme, ensuring applications are processed accurately, consistently and on time. Just as importantly, you will be the primary point of contact for a group of dedicated volunteer committee members, genuinely guiding and supporting them through their responsibilities rather than simply providing secretariat support. This is a process-driven, execution-focused position, well suited to someone who takes pride in accuracy and reliability and who is confident building trusted relationships with volunteers.
Duties
- Review and process certification applications end to end, ensuring accuracy and completeness.
- Act as the primary point of contact for volunteer committee members, building strong, trusted working relationships and guiding them through their responsibilities.
- Schedule committee meetings, prepare agendas and papers, and take accurate minutes.
- Maintain accurate database records and produce management and statistical reports.
- Support continuous improvement, including the transition to a new membership management platform.
Requirements
- At least three years' experience in structured office administration or a similar role.
- Exceptional attention to detail and the ability to follow established procedures precisely, with minimal supervision.
- Genuinely enjoys working with, and guiding, volunteers, particularly in a committee setting.
- Comfortable using CRM or database systems and the MS Office suite.
- Strong minute-taking ability and clear, professional written communication.
- Self-motivated with a steady, methodical approach and sound judgement on when to escalate.
- Experience in a membership, certification, education or regulated not-for-profit environment is advantageous.
