Event Coordinator
Chatswood Office - Hybrid working
3 month temporary contract
$40 per hour + Super

About the client

Our client is a well-established industry association based in Chatswood, delivering a busy calendar of conferences, gala dinners and webinars for its members and the wider sector. With a peak events period underway, they are bringing in extra coordinator support to keep everything running smoothly.

About the role

As Events Coordinator, you will take direction from the Senior Event Manager and Event Managers and pick up the support tasks that make events run well, from logistics and registrations to run sheets and delegate enquiries. It is an output-focused role, so you will be trusted to own delegated work, deliver it on time and spot what needs to happen next without waiting to be asked. You will also help deliver smaller, repeatable events using the team's established templates and processes. This is a 3-month contract with the opportunity to extend, and there are two positions available.

Duties

  • Coordinate venues, catering, AV, suppliers and contractors for conferences, gala dinners and webinars, including sourcing venues and obtaining quotes as directed.
  • Follow up with speakers and presenters to gather information and presentations ahead of each event.
  • Support delegate registrations in Jomablue, troubleshooting routine registration and platform issues and escalating problems where required.
  • Prepare run sheets, briefing documents, checklists and venue event orders.
  • Manage the shared events inbox and phone line, responding promptly to delegate enquiries.

Requirements

  • 2 to 3 years' experience in an events coordinator or similar events support role.
  • Hands-on experience supporting the delivery of conferences, gala dinners or webinars.
  • Experience using event registration platforms; Jomablue is highly regarded and Aventri is also valued.
  • Familiarity with HubSpot or a similar CRM.
  • Strong MS Office skills, particularly Excel for building and maintaining event trackers.
  • Availability to start soon and work from the Chatswood office at least 3 days a week.
  • Full working rights in Australia.
