Membership & Engagement Coordinator
Sydney, Melbourne or Brisbane - Hybrid - WFO & WFH
Full-time, Permanent
Salary:$90k – $100k + Superannuation

Are you someone who thrives on building relationships, staying organised, and spotting opportunities to deliver more value? This is a hands-on Membership Coordinator role with real scope to grow into a Manager position within 12 months.

You’ll join a small, high-performing, purpose-driven organisation operating within the transport, infrastructure and mobility sector, supporting a growing membership base of over 100 organisations across Australia and New Zealand. It’s a fast-paced, collaborative environment where your ideas, initiative, and commercial awareness will genuinely make a difference.

About the Role

Reporting to the Head of Engagements & Partnerships, you’ll play a central role in managing day-to-day member engagement, coordination, and administration - while also supporting the Chief Executive with membership and international engagement activities.

This is a highly interactive role. You’ll be regularly involved in member meetings, helping shape engagement strategies, supporting sponsorship conversations, and ensuring the organisation continues to deliver strong value to its members.

Key Responsibilities

Member Engagement & Relationship Management

  • Coordinate and attend regular member meetings (with senior leadership), helping to build strong, ongoing relationships
  • Proactively engage members to understand their priorities, interests, and motivations
  • Identify opportunities to enhance member value through programs, events, and partnerships
  • Support engagement across Australia, New Zealand, and internationally

Events, Sponsorship & Commercial Support

  • Assist in shaping the events program based on member insights and feedback
  • Coordinate invitations and communications for events, including private and invite-only functions
  • Support delivery of major events (including key events in July and November)
  • Assist with sponsorship coordination and exposure to commercial discussions and negotiations

Membership Growth, Renewals & Administration

  • Support onboarding of new members and coordinate recruitment processes
  • Manage renewals (including a key renewal period from 1 July) and member communications
  • Maintain accurate and up-to-date CRM databases and contact lists
  • Provide day-to-day administrative support to the membership function

Strategy, Insights & Communications

  • Contribute to the ongoing development of the membership engagement strategy
  • Track and analyse member data to identify trends, gaps, and opportunities
  • Support member communications, including newsletters and updates
  • Help assess membership tiers and overall engagement effectiveness

Executive Support

  • Provide EA support to the Chief Executive on membership and international engagement
  • Coordinate meetings, travel, and stakeholder communications
  • Prepare briefing materials and follow-ups

About You

Experienced & Commercially Astute

  • Experience in membership, stakeholder engagement, business development, or sales
  • Strong organisational and administrative skills with the ability to manage multiple priorities
  • Some exposure to commercial environments, sponsorships, or negotiations is highly valued
  • Comfortable supporting (and learning from) senior stakeholders in meetings

Relationship-Driven & Curious

  • Confident engaging with a wide range of stakeholders and asking the right questions
  • Skilled at building rapport and understanding member needs
  • Proactive, energetic, and solutions-focused

Events & Coordination Savvy

  • Experience supporting or coordinating events
  • Comfortable managing logistics, invitations, and communications

Team-Oriented & Growth-Focused

  • Keen to learn, develop, and step up into a leadership role over time
  • Enjoys working in a small team where everyone contributes
  • Adaptable and thrives in a busy environment

Additional Information

  • Sydney-based candidates are preferred, though other east coast locations will be considered
  • A short handover period with the current role holder is planned
  • This is a busy and exciting time of year, with major events and membership renewals underway
