Looking for a strong administration assistant that is proactive and shows a lot of initiative for a 3 month contract with likely opportunity to extend due to business requirements.

The Administrative Assistants primary objective is to provide high level, efficient administrative support and contribute towards the effective operation of the branch. This role will work in a flexible environment supporting different business units

This role is extremely varied and will include supporting an Executive and their supporting team. The potential candidate needs to have strong relationship building skills and a great rapport with stakeholders.

PLease note: Role will based between two locations, CBD and Macqaurie Park so candidate must be willing to travel between locations dependant on business needs.

Key accountabilities

  • Contribute to achieving effectiveness of senior management by determining and prioritising critical issues, including co-ordination and organisation of meetings and diary maintenance for Deputy Executive Directors.
  • Support the business unit with procurement activities which include purchase order requests, extensions for goods and services, processing invoices for payment.
  • Provide word processing services using appropriate software packages to prepare documents such as memoranda, correspondence, briefing notes, reports, procedural manuals.
  • Coordinate change management activities for the business unit, distribute circulars, communication messages and all correspondence including incoming mail to keep managers and staff informed
  • Providing business unit with support for on-boarding/off-boarding requirement and building induction.
  • Contribute to achieving effectiveness of senior management by determining and prioritising critical issues, including co-ordination and organisation of meetings and diary maintenance for Deputy Executive Directors.
  • Support the business unit with procurement activities which include purchase order requests, extensions for goods and services, processing invoices for payment.
  • Provide word processing services using appropriate software packages to prepare documents such as memoranda, correspondence, briefing notes, reports, procedural manuals.
  • Coordinate change management activities for the business unit, distribute circulars, communication messages and all correspondence including incoming mail to keep managers and staff informed and enable them to respond to necessary matters and changes within required timeframes.

Essential requirements

  • Demonstrated experience in an administration support role
  • Experience in using Microsoft software packages including Word, Excel and PowerPoint and in preparing correspondence and reports as required
